Most teams assume deploying an AI phone agent takes weeks of integration work, custom development, or a dedicated IT person. Not anymore. With Tilk AI you can have an AI receptionist answering your business phone in under five minutes, and the longest part is usually picking a voice.
No coding. The clock starts after signup.
What You Will Need
Three things, none technical.
- A business phone number you own, or a willingness to spin one up inside Tilk.
- A clear idea of what the receptionist should do. Booking appointments is very different from prequalifying leads, so pick one before you start clicking.
- Five uninterrupted minutes.
Still deciding whether an AI receptionist fits? Read the complete guide first.
Step 1: Create Your Account (30 Seconds)
Sign up at tilkai.com. Email and password. No card.
Confirm your email and you land on the dashboard. The onboarding flow starts automatically, with a prompt to create your first agent.
Step 2: Choose an Industry Template (30 Seconds)
Tilk ships pre-built templates for common industries:
- Dental practices
- Law firms
- Healthcare clinics
- Auto repair shops
- Real estate agencies
- And 20+ more
Pick the closest match. Each template ships pre-loaded with an industry-specific greeting, common FAQ responses, booking logic, and transfer rules. None of it is locked in.
If none fit, pick “General Business” and customize. A template is a head start, not a contract.
Example greeting (Dental template):
"Thank you for calling [Your Practice Name].
I can help you schedule an appointment,
answer questions about our services,
or connect you with a team member.
How can I help you today?"
Step 3: Configure Your Bot (2 Minutes)
This is where most people slow down. Four sections; do them in order.
Business Information
Business name, address, hours, and anything callers frequently ask about. The AI uses this on every call; it is worth a careful pass.
Greeting and Personality
Customize the greeting and pick a voice. Tone runs from professional to casual.
Preview before you ship. A voice you like in a 4-second sample is sometimes not the voice that holds up over a 90-second appointment call, especially around numbers, dates, and hyphenated addresses, which is exactly where text-to-speech systems fall over and where Tilk’s native-audio model wins.
Knowledge Base
Upload documents the receptionist needs: service menus, pricing sheets, staff bios, policies. The AI indexes them automatically. Supported formats:
- PDF documents (.pdf)
- Word documents (.docx)
- Text files (.txt)
- Web pages (paste a URL)
One thing worth knowing. The knowledge base answers from your documents and does not invent answers that are not in them. If your pricing sheet says “call for quote,” the AI says “call for quote.” If you want it to give a number, the number has to be in the document.
Call Handling Rules
Define what happens for different call types. This is where the flow builder earns its keep.
- Appointment requests. Connect to Google Calendar for live booking.
- Billing questions. Transfer to your billing department.
- Emergencies. Route immediately to an on-call number.
- After-hours calls. Take a message and email it.
Drag nodes around the visual flow builder to wire these up. For a money-side comparison versus hiring staff, see the cost comparison guide.
Step 4: Connect Your Phone Number (1 Minute)
Two options.
Option A: Get a New Number
Tilk provisions a local or toll-free number on the spot. Pick an area code; the number is active in seconds.
Option B: Forward Your Existing Number
Keep your current number and set up call forwarding from your provider to Tilk. Instructions vary, but the shape is the same:
- Log in to your phone provider’s portal.
- Find Call Forwarding (sometimes buried under “Calling Features” or “Advanced”).
- Enter the Tilk AI forwarding number from your dashboard.
- Save and place a test call.
Step 5: Test and Go Live (1 Minute)
Before pointing real customer calls at the agent, run five scenarios. Fast, but skipping this step is the single most common reason a launch goes badly.
- Basic greeting. Call. Listen. Does it sound like your business?
- FAQ handling. Ask something that should live in your knowledge base. Did it answer from the document, or improvise?
- Appointment booking. Try to book. Did it actually check your calendar, or pretend to?
- Transfer request. Ask for a human. Did the transfer land on the right phone?
- Edge case. Mumble. Cough. Switch language. Real callers give you weird stuff, so see how the agent handles it now.
If anything is off, go back, fix it, and call again. Changes take effect immediately. No deploy, no restart, no cache to clear.
What Happens Next
Once the receptionist is live, the dashboard is where you spend the next few days:
- Call logs. Every call, with full transcript.
- Analytics. Volume, average duration, resolution rates.
- Recordings. Listen to actual calls.
Listen to the first 10 to 20. Not all, just enough to catch patterns. Week one is where you find the questions your knowledge base did not anticipate, and the flows that need an extra branch.
Common Questions
How many calls can it handle at once? A human handles one. Your AI receptionist takes concurrent calls, so no busy signal, no hold music, no caller wondering if anyone is going to pick up.
What if the AI cannot answer a question? You configure the fallback up front: transfer to a person, take a message, or offer a callback. The AI knows its limits and escalates instead of guessing.
Can I change the configuration later? Yes. Everything is editable any time, and the next incoming call uses the new version. No deploy step.
What about healthcare privacy compliance? Tilk is built with healthcare privacy in mind and is actively working toward full HIPAA compliance. Reach out to the team for the current state of the roadmap before deploying in a covered-entity context.
